Preventive Maintenance Checklist for Small Businesses in Pinellas County (Free Printable)

For shop owners, office managers and property managers. A sticky entry door, a dripping restroom faucet or a loose sign is a small fix today and a bigger bill (or an unhappy customer) next month. Print this list, hand it to whoever opens up, and work through it on schedule.

Have Us Handle It

Weekly

A 10-minute walk-through, ideally before you open. Note anything that looks worn and fix it while it is still small.

Entry doors open, close and latch on their own (no slamming, no gap)
Door handles, push bars and locks are tight and work smoothly
All interior and exterior lights work; no flickering tubes or bulbs
Signage, displays and wall-mounted items are secure
Restrooms: no running toilets, dripping faucets or loose fixtures
Walkways, steps and parking area are free of trip hazards and debris
Ceiling tiles show no new stains (an early sign of a roof or AC leak)
Paper towel, soap and grab bar mounts are tight on the wall

Monthly

Small wear items that cause the most service calls if they are ignored.

Replace or check HVAC filters (monthly if the AC runs all business hours)
Check under sinks and around water heaters for drips or soft spots
Test GFCI outlets in restrooms, breakrooms and outdoors (press Test, then Reset)
Look over drywall in high-traffic areas for dents, holes and scuffs
Check door closers and weatherstripping on the main entrance
Test emergency and exit lights using their test button
Walk the back of house: storage shelving anchored, nothing blocking exits
Check AC condensate line outlet is draining (no standing water or algae)

Quarterly

Florida humidity and salt air wear exterior materials faster than most checklists assume.

Inspect caulking around storefront glass, entry doors and restrooms
Check exterior paint and trim for peeling, bubbling or soft wood
Pressure wash entry, sidewalk and dumpster area if slippery or stained
Inspect fences, gates and dumpster enclosures for loose boards or hinges
Tighten toilet partitions, handrails and grab bars
Check exterior lighting timers or photocells after any power outage
Look for rust on metal door frames, railings and fasteners (salt air)
Clear gutters and downspouts if you have trees nearby

Hurricane Season (June 1 to November 30)

Do this before June, then recheck after any named storm.

Gutters and downspouts cleaned and draining away from the building
Loose signage, awnings and outdoor furniture secured or stored
Shutters or panels located, labeled and hardware tested
Door thresholds and sweeps sealed against wind-driven rain
Photos of the property taken for insurance before the season
Emergency contact list posted, including who to call for repairs
After a storm: check ceilings, walls and floors near windows for new water stains

Annually

Bigger-picture items that build up so slowly they go unnoticed week to week.

Smoke and CO detectors tested; batteries replaced
Full exterior walk: soffits, fascia, trim and sealant joints
Touch up interior paint in customer-facing areas
Review door hardware, locks and keys after staff changes
Check ADA-related items like grab bars and door pull force
Plan next year's bigger projects so they can be scheduled in your slow season

When to Call a Pro Instead

Most of this list is a quick look, not a repair. When something on it fails, or when nobody on staff has time to run the list every week, that is where we come in. We handle the handyman side of commercial upkeep for shops, offices, salons, restaurants and rental properties across Pinellas County, on a schedule that works around your business hours.

If you manage more than one location, a recurring visit from one point of contact is usually more reliable than waiting for staff to notice problems.
